Realty Watchers (“Company,” “we,” “us,” or “our”) is committed to protecting the privacy of our customers, their tenants, and all users of our platform. This Privacy Policy explains how we collect, use, store, share, and protect personal information through the Realty Watchers platform, including the Leasify dashboard, AI voice services, and related tools (the “Service”).
2. Information We Collect
2.1. Information You Provide
- Account Information: Name, email address, phone number, company name, billing address, and payment information when you register or subscribe.
- Property Data: Property addresses, unit details, amenities, rental rates, and related property information.
- Tenant & Lease Data: Tenant names, phone numbers, email addresses, lease terms, rent amounts, payment history, and move-in/move-out dates.
- Lead Data: Prospective tenant names, phone numbers, email addresses, property interests, and communication history.
- Maintenance Data: Work order descriptions, issue types, property/unit associations, and resolution notes.
- Communications: Messages, emails, and other content sent through or uploaded to the Service.
2.2. Information Collected Automatically
- Voice Interactions: When tenants, leads, or other callers interact with our AI voice assistant, calls may be recorded and transcribed. Callers are notified of recording at the start of each call.
- Usage Data: Log data, IP addresses, browser type, pages visited, feature usage, and interaction patterns.
- Device Information: Operating system, device type, and unique identifiers.
2.3. Information from Third Parties
- Payment Processors: Transaction confirmations and billing details from payment providers (e.g., Stripe).
- Communication Providers: Call metadata and delivery status from telephony providers (e.g., Twilio).
3. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Service
- Process transactions and manage subscriptions
- Power AI features including the voice assistant, automated communications, and analytics
- Generate work orders, manage maintenance requests, and track property operations
- Communicate with you about your account, service updates, and support requests
- Improve the Service, develop new features, and conduct internal analytics
- Comply with legal obligations and enforce our Terms of Service
- Detect, prevent, and address fraud, abuse, and security issues

We do not sell personal information.

4.1. Service Providers
We share data with third-party providers who help us deliver the Service, including:

We may disclose information if required by law, subpoena, court order, or government request, or if we believe disclosure is necessary to protect rights, safety, or property.
4.4. Business Transfers
In the event of a merger, acquisition, or sale of assets, Customer Data may be transferred to the successor entity. We will notify affected Customers before any such transfer.
5. Data Retention
- Customer Data is retained for the duration of the Customer’s subscription plus 30 days to allow for data export.
- Voice recordings and transcripts are retained for 90 days unless the Customer requests earlier deletion or longer retention is required by law.
- Account and billing records are retained as required by applicable tax and accounting laws.
- Usage and analytics data may be retained in anonymized or aggregated form indefinitely.
6. Data Security
We implement commercially reasonable safeguards to protect personal information, including:
- Encryption of data in transit (TLS/HTTPS)
- Encryption of sensitive data at rest
- Access controls and authentication requirements
- Regular backups with encrypted storage
- Monitoring for unauthorized access
No method of transmission or storage is 100% secure. While we strive to protect personal information, we cannot guarantee absolute security.
7. Tenant & End User Privacy
7.1. Tenant Data
Tenant personal information is provided by the Customer (landlord/property manager) and processed on their behalf. The Customer is the data controller for tenant data; Realty Watchers acts as a data processor.
7.2. Voice Interactions
- Callers to the AI voice assistant are informed that the call may be recorded at the beginning of each interaction.
- Call recordings and transcripts are accessible only to the Customer associated with the property and to Realty Watchers for service operation and quality assurance.
- Tenants and callers may request access to or deletion of their call records by contacting their property manager or Realty Watchers directly.
7.3. Maintenance Requests
- The tenant maintenance request form collects only information necessary to process the request: name, contact information, property, and issue description.
- This information is shared with the relevant Customer (property manager) to fulfill the request.
8. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Delete your personal information (subject to legal retention requirements)
- Export your data in a portable format
- Opt out of non-essential communications
- Restrict certain processing activities

9. California Residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):
- Right to Know: You may request details about the categories and specific pieces of personal information we collect.

- Right to Non-Discrimination: We will not discriminate against you for exercising your CCPA rights.
- No Sale of Data: We do not sell personal information as defined by the CCPA.

- Analytics and performance monitoring
We do not use third-party advertising trackers. You can control cookies through your browser settings, but disabling them may affect Service functionality.

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification at least 15 days before taking effect. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
